Verification of the Insolvency Register (ISIR)

The Ministry of Justice of the Czech Republic maintains a database of the debtors in the Insolvency Register (ISIR).

In the Insolvency Register, only debtors against whom insolvency proceedings have been commenced after 1 January 2008 and who have not been deleted from the register according to Section 425 of the Insolvency Act can be found.

Debtors against whom bankruptcy or settlement proceedings have been initiated before 1 January 2008 can be found in bankruptcy records.

The functionality enables you to check the records companies in the Insolvency Register. The service is available only for the Czech Republic.

 
VAT payer reliability verification

VAT payer reliability verification

This module enables checking of a Company in the register of reliable VAT payers.

Your supplier’s liability for payment of VAT is a tool of the tax administrator to prevent tax evasion. If we do not verify in the register of payers whether our supplier of goods or services might be an unreliable payer or whether the account to which it we are going to pay has been properly published in the register, we run the risk of liability for foreign VAT and thus the risk of double payment of VAT.

The service is available only for the Czech Republic.

A check is done to determine whether the entered address is in the register of addresses in the Czech Republic.

It is checked against this service whether the address entered exists. During the performed check, the following information is verified: Street, address number, municipality.

The service is available only for addresses in the Czech Republic.

Displaying of the address on the map

In the detail of the record there is the option to display the address for interested parties, companies and contacts in a new window in Google Maps.

When you click on the icon of a marker, a new window will open with the entered address and details about the company in the record. Displayed information can be modified according to the needs of the client. For example, you can colourfully distinguish the sizes of the clients in terms of turnover, etc.

 
Loading of ARES data

Loading of ARES data

The module enables you to download information from ARES, i.e. the register of businesses.
Searches are either under the Reg. No. or under the name of the company/business. When entering a partial name, clarification is required.
Information is read about:

  • address,
  • statutory bodies,
  • legal form,
  • founding date, recording location
  • primary NACE code

The ARES buttons are linked to the country for the company, and the service is available only for the Czech Republic.

When information is loaded from ARES, the statutory bodies are also loaded as contacts. In the configuration it can be defined whether to obtain contact details from loaded statutory representatives.

 
Tax ID No. checking

Tax ID No. checking

The plug-in checks whether the tax identification number is correct and also of whether it exists in the European VAT register.

The service determines whether the tax identification number is valid and returns the name of the company and its registered billing address.

The check is only for the European Union member states.

Checking of the duplicity of the Reg. No. and company name

If the user adds the Reg. No. and name. The system performs a check of whether a similar Reg. No. and/or name already exists in the system. In the event that there is a way to display a dialogue box, which informs the user.

If the user will complement the company name, it will be displayed if a similar name of another company is found. And if it tries to save a duplicate company name matching an existing name or Reg. No., then the system will restrict this.

A message will appear from an inactive Save button.

Map of companies

In the module of the company, it is possible according to the address to display all businesses registered in CRM on the map.

Individual firms are displayed using the Google Maps API.

Filtering can normally be done based on assigned user.  Additional filter parameters are added according to customer requirements.

The update of coordinates occurs at night with the help of a crone.

The module can be positioned also in the reporting module itself.

 
Contacts from company

Contacts from company

If the user registers an individual as a business, it must always also register a contact. This furthermore is from the point of view of the users of the operation.

If the legal forms = individuals, then the Establish Contact check box will be displayed.

If the user selects it, then after the company is entered a contact will also be entered with the same details as the company, with a name and surname, including address.

Note: this function saves time when establishing the contacts if an individual and not a company is involved.

Addition of the region and district according to postal code

If you know the postal code of the interested party, business or contact, then the city, district and region shall be added from the database.

We standardly provide a database of postal codes for the Czech Republic, Slovakia and Poland. The data for other countries can be provided based on orders. Postal code values can be added to as well.

 
Notifications of birthdays and name days

Notifications of birthdays and name days

When a contact has entered their date of birth or name day, the owner of the contact is sent a notification:

  • 7 days prior to the date of birth or the name day, and
  • on the date of birth or name day.

The notification is sent using e-mail in the morning hours via scheduled tasks.

In the contact, the automatic filling in of the name day is also the contact’s given name.

Name days are automatically selected according to country registered in the contact. Via the administration of the system, it is also possible to add name days for each name and country.

Telephone, meeting - follow-up activities

If you are having a phone conversation with a client and you decide for example that in 14 you will meet, then you will have to plan additional activity directly from the phone number detail, such as the meeting, without leaving the detail and again before selecting all of the details.

Such created functionality saves the user’s time spent on management of the activities.

There is an option to close a particular call directly i the call and plan a meeting, where completed attributes will be collected from the call, such as Related to, Subject, etc.

This functionality works in a similar manner for meetings.

In standard SugarCRM there is no option to monitor changes (Change Log) for activities (changes made to the record by the user).

Now processed, so that this functionality is the same as for other modules.

The activities are displayed in sub-panel Activity and History. If you want to see the contents of the activities then you have to click on them. Our adjustments are focused on speedier displaying of contents.

The contents of the activity can be displayed by moving the mouse above its name, and a dialogue window appears, when enables displaying of contents.

We have implemented a script that ensures that at daily intervals the currency exchange rates are updated based on information from the Czech National Bank.

We have created a module for you that enables:

  • recording means of transport and calculation of average consumption,
  • recording of rates of reimbursement for meals, fuel and vehicles and regularly updating them,
  • creating travel orders and billing for them, and
  • printing travel orders.

Part of the whole process can also be Work Flow, which will enable the approval of business trips before they are taken and after arrival.

On-line marketing

Our new functionality allows you to create a new type of campaigns, which in standard SugarCRM is not available: telemarketing campaigns.

Telephone type campaigns are created easily, when a call is planned with pre-defined parameters for a selected target group, along with a schedule with options of defining who should make the calls.

It is then possible in cooperation with the central exchange to carry out automatic or manual dialling of calls and recording call results.

In the basic SugarCRM, it is not possible to distribute searches generated once to other users. This feature saves time for the administrator, who will perform one search, and this search will be saved as a filter, which will then be shared with other users.

Our modification allows you to define different colours for the various statuses. Functionality is available for all types of records that have statuses, such as Activities and Opportunities. This makes it possible for the user to see the differences in statuses of individual records immediately, and this makes the list of records clearer overall.

Dynamic management of the members of the marketing lists

Marketing lists are used for contacting clients through mass marketing tools such as e-mail, SMS and telephone calls.

For selection of groups to reach out to, we have the option to choose a dynamic list. This means that its contents change in the background based on defined parameters.

This practically means that if we want to reach out to clients who have turnover greater than CZK 1 million per year then one year that group can have a different number of clients than another, based on achieved turnover.

 
Periodic billing

Periodic billing

On the basis of our clients’ requirements, we have created a module for regular and periodic billing according to defined contracts and samples.

The users in the system:

  • establish a contract,
  • shall attach an invoice template, which shall define when the invoice should be issued and for how much,
  • shall select an e-mail message template and an invoice template and
  • whom the invoice will be sent to.

The procedure at the set time will verify the database and according to set parameters will create invoices and send them to the selected contacts. Then it will establish in the CRM a record of the invoice and attach the original sent e-mail along with the invoice attachment, usually in PDF format.

Then it will be possible to transfer the created record to the company’s economic system.

We have created for you a new clearer calendar, which is fully configurable.

New types of functionality have been implemented in the new calendar, such as:

  • the ability to display all types of activities including tasks,
  • the colour settings for activity types and also the statuses,
  • clearer displaying of activities, and
  • simple replanning by simply dragging activities in the calendar, etc.
